Recado records conversations. That is sensitive information, so this policy is written to be understood in a single read: what data is processed, who is involved, how long things last, and how to ask for them to be deleted. It applies only to the Recado app for iPhone and Apple Watch. Other Olevior products have their own policy.
1. Who is responsible
The party responsible for processing the personal data described here is Olevior, a software company based in Mexico City, Mexico, and the owner of Recado.
For anything related to this policy or to your data, write to contact@olevior.com.
2. The essentials, in five lines
- Your notes live on your iPhone. If you turn on syncing, their text also lives in your own iCloud.
- Audio leaves your phone only to be transcribed and summarized, and it is deleted when the work is finished.
- Your audio and your text are not used to train models.
- Using Recado takes no email address, no password and no phone number. Apple handles the billing: Recado never receives your card details.
- There is no advertising, no tracking across apps or sites, and no selling of data.
3. What information is processed
Recado processes the following data, and nothing more:
- The audio you record with your iPhone or Apple Watch, and the audio you import from Files, Voice Memos or another app (a WhatsApp voice note, for example).
- The text that comes out of that audio: the transcript with its speakers, the summary, the title, and the dated commitments Recado detects.
- The instructions you type into the chat inside a note and the change proposals Recado generates from them.
- An identifier for your service account and for your installation. Opening the app creates a device session. The app uses Apple's App Attest to verify that requests come from a legitimate installation of Recado and not from a program impersonating the app.
- Your Sign in with Apple identifier, if you turn it on. It is optional and it serves to link your service account and enable syncing. If you choose to hide your email address, Apple supplies a relay address instead of yours.
- The status of your subscription and your usage: which plan you have, when it renews, and how many minutes of audio and how many chat requests you have used in the current cycle. This is what makes it possible to apply the plan's limits.
- Minimal technical data about the processing: job identifiers, statuses and error codes, with none of your audio or text, so we can tell whether something failed and retry it.
Recado does not ask for your contacts, your location or your photos. The microphone permission is required in order to record. Live captions, notifications, Calendar and Reminders are optional, and you can deny each one without the app ceasing to work.
4. What each piece of data is used for
| Data | What for |
|---|---|
| Recorded or imported audio | Transcribing it and summarizing it. Nothing else. |
| Transcript, summary and detected commitments | Delivering your note, offering you the events and reminders it detected, and letting you edit and export it. |
| Messages in the chat inside a note | Generating the change proposal that you then apply or discard. |
| Account and installation identifier | Tying each job to your account, delivering the result to you, and preventing abuse of the service. |
| Sign in with Apple (optional) | Linking your service account and enabling text syncing across your devices. |
| Subscription and usage | Applying the plan's minutes and requests, warning you as you approach the limit, and validating your purchase. |
| Push notifications | Letting you know your note is ready, if you granted that permission. |
None of this data is used for advertising, for building profiles, or for training artificial intelligence models.
5. What you record can be sensitive
A thirty-minute conversation can contain health information, amounts of money, financial data, legal matters, addresses and (this part matters) data about other people who never installed the app. Recado treats that content as sensitive information and keeps it for the minimum time it needs in order to hand you back the note.
Even so, the decision about what to record is yours. If a conversation should not leave your phone, do not record it with Recado: processing the audio requires sending it, as explained in section 7.
6. Where your information lives
- On your device. The notes, the summaries, the transcripts and any audio you keep live on your iPhone. Audio files stay on the device that received them.
- In your iCloud, if you turn it on. With Sign in with Apple enabled and an iCloud session available on the device, the text of your notes and your edits sync across your devices through CloudKit, inside your own Apple account. Audio files are not synced through iCloud. Sign in with Apple and having iCloud active are two different things: the first links your service account, the second enables syncing.
- On Recado's servers, temporarily. Only for as long as the processing and the delivery take, within the time limits in section 8.
7. Who takes part in the processing
Turning audio into a note involves these companies, each one only for what is stated below, processing the data on the instructions of the party responsible and not on their own behalf:
- Cloudflare. Hosts the Recado service: the server that receives and coordinates the job, the temporary storage of the audio and of the result, the account and quota database, the processing queue, and the sending of push notifications.
- Google. Its Gemini models produce the transcript with speaker identification and write the summary, and they also handle the requests from the chat inside a note. For that, the audio and the corresponding text are sent to Google.
- OpenAI. Configured as a backup provider: it is used only if the main one fails or is unavailable, and only for the same task of transcribing or summarizing.
- Apple. Handles subscription billing through the App Store, the Sign in with Apple feature, syncing through iCloud/CloudKit inside your account, and the delivery of push notifications.
- RevenueCat. Validates your purchase and your subscription status so the plan's quota can be applied. It receives purchase and customer identifiers, not your audio or your notes.
None of these providers receives your audio or your text for any purpose other than the one described, and the content of your conversations is not used to train models.
8. How long each thing is kept
Server-side data is temporary by design. These are the time limits:
| Information | How long it lasts |
|---|---|
| Uploaded audio and intermediate transcript | Deleted once the result is complete. Incomplete or orphaned files expire after 24 hours. |
| The note's result (finished summary and transcript) | Deleted as soon as the app confirms it has saved it on your device. If that confirmation never arrives, it expires seven days later. |
| Input and output of the chat inside a note | Deleted after the app's confirmation, or after 15 minutes. |
| Late uploads after cancelling or deleting | An upload link that has already been signed can stay valid for up to 15 minutes; a periodic sweep removes whatever is left orphaned or cancelled. |
| Files handed to the AI provider | Explicitly requested to be deleted once the job ends. If the process is interrupted before the file is registered, its deletion may depend on the provider's own limit, of up to 48 hours. |
| Technical processing log | One day. It holds identifiers and status codes, with none of your audio or text. |
| Quota record after deleting the account | Until the end of the current monthly cycle plus seven days. It only holds pseudonymous data about the purchase, the cycle and the usage, unlinked from the deleted account, so that one and the same payment cannot reset the minutes over and over. |
| Notes, audio and text on your device | For as long as you want. Whatever you delete goes to the app's trash for 30 days and is erased afterwards. |
It has to be said honestly: these expiry periods depend on the service and its scheduled tasks working. An outage can delay a deletion. When that happens, the data is deleted on the next sweep; it does not stay around indefinitely.
9. Transfers outside Mexico
Cloudflare, Google, OpenAI, Apple and RevenueCat may process the information on servers located outside Mexico. By using Recado you accept that your audio and the text derived from it are processed outside the country, solely for the purposes in section 4 and within the time limits in section 8.
10. Legal basis for the processing
The processing rests on your consent (when you grant the microphone permission, when you record or import audio, and when you send it to be processed) and on the performance of the service you contract: turning that audio into a note and maintaining your subscription and your quota. All of it in accordance with the applicable Mexican legislation on the protection of personal data held by private parties.
11. Apple handles the payments
Recado subscriptions are bought and managed through the App Store, with the Apple account you already have. Recado neither receives nor stores card or payment method data. Apple handles that information. All that reaches the service is the confirmation that you have an active subscription, on which plan and until when, validated through RevenueCat.
12. No advertising and no tracking
In Recado there is no advertising, no tracking across apps or sites, no third-party analytics on the content of your notes and no selling of data. The app is not set up to track.
13. Your rights and how to exercise them
You can request access to your personal data, rectification if it is inaccurate, cancellation of it and objection to its processing, and you can also withdraw your consent and limit the use of your information.
The fastest way is from inside the app itself, without asking anyone's permission:
- Access and portability: Settings › Export everything hands you your notes in a format you can save or open in another app.
- Rectification: the whole note can be edited by hand, including the summary, the transcript and the speaker names.
- Cancellation: Settings › Delete all my data, as explained in section 14.
You can also exercise them by writing to contact@olevior.com. To be able to handle the request we need you to tell us which right you want to exercise and over what information; we will answer within the periods set by the applicable law. If you are not satisfied with the answer, you may turn to the competent authority for the protection of personal data.
14. How to delete your data and your account
Settings › Delete all my data erases your information without asking you for explanations: the notes, the summaries, the transcripts and the audio on your device, and your account data on the server.
Three things worth knowing before you do it:
- Deleting your data does not cancel your subscription. The subscription is managed with Apple, from the iPhone's Settings. If you want to stop paying, cancel it there.
- It does not propagate everywhere instantly. If you have iCloud syncing, or recordings still waiting to be sent on the Apple Watch, the deletion reaches those devices when they are back online.
- A pseudonymous quota record stays behind for the current monthly cycle plus seven days, as explained in section 8. It holds neither your identity nor the content of your notes; it exists so that deleting an account does not turn into a way of resetting the plan's minutes.
15. Security
Traffic between the app and the service travels encrypted. Audio is uploaded through short-lived signed links, requests are checked with Apple's App Attest so the ones that do not come from a legitimate installation of the app are rejected, and content is stored on the server only for the time set out in section 8. iCloud syncing happens inside your Apple account, with the encryption Apple manages. No system is infallible, but the design starts from keeping as little as possible for as short a time as possible.
16. Minors
Recado is not directed at children under 13 years of age and their information is not intentionally collected. If you believe a minor has sent personal data through the app, write to us at contact@olevior.com so it can be deleted.
17. Recording other people
When you record a conversation you are also processing the data of the people talking with you. The app reminds you to tell them the first time you record, but that reminder does not replace your obligation: informing the other people and obtaining whatever consent the law requires in your case is your responsibility, not Recado's. There are places and situations where recording without every participant's permission is illegal. Find out before you do it.
18. Changes to this policy
If this policy changes, the date shown at the end is updated. Significant changes will be announced inside the app or on this same page.
19. Contact
For privacy questions, to exercise your rights, or to report something, write to contact@olevior.com. Recado's terms of service are at olevior.com/recado/terms.
